What we collect

When you register a business account or submit a quote request, we collect your company name, KvK number, VAT/BTW-ID, contact name, business email address, phone number and shipping destination, along with any notes you provide. To operate your account we also store your email address and a hashed, unreadable form of your password — never the password itself. When you accept a quote we record the time, the IP address and the browser details of that acceptance, together with the version of our terms in force at the time.

Why we collect it

This information is used to verify that you are a registered business, to prepare and send personalised quotes, to process orders and invoices, and to communicate with you about your account or shipments.

Legal basis

We process your data on the basis of performance of a contract (or steps prior to entering one, such as a quote request) and, where applicable, our legitimate interest in verifying wholesale customers and preventing fraud. The acceptance record described above is kept on the basis of our legitimate interest in being able to evidence the agreements we enter into.

Sharing with third parties

We share data with logistics and freight partners as needed to fulfil shipments, and with payment or accounting providers as needed to process invoices. Your account, your quotes and your pro forma documents are hosted for us by Supabase on servers in Frankfurt, Germany, and system emails are sent through an email provider on our behalf. New requests also raise an internal alert in our own Discord workspace; that alert contains only your company name and a reference number, never your contact details or trade registration numbers. We do not sell your data to third parties.

Storage and retention

Business data is retained for as long as your account is active and afterwards only for as long as required to meet our legal, tax and accounting obligations. Quotes and the acceptance records attached to them are retained for as long as they may be needed as evidence of an agreement, and in any event for the statutory retention periods.

Your rights

You may request access to, correction of, or deletion of your business data at any time by contacting us. We will respond within a reasonable time in line with applicable data protection law.

Cookies

This website uses only essential functional storage: your language preference, your in-progress quote list, and — once you log in — the session token that keeps you signed in. We do not use tracking or advertising cookies.
